The Special Projects Coordinator will assist the Special Projects team with coordinating communications between various departments on cross-functional and large-scale special projects. The role includes administrative tasks such as updating and maintaining project timelines and calendars, coordinating meetings, creating agendas and taking notes, and building and updating presentation decks.

REQUIREMENTS

  • At least 3 years of relevant experience in event production, marketing or related field

  • Highly organized, detail-oriented, dependable, and capable of managing multiple tasks with attention to detail

  • Strong communicator with excellent written, verbal, and presentation skills; proficient in active listening and adept at conveying messages to diverse audiences across various hierarchical levels

  • Ability to prioritize, take initiative, and work independently when necessary

  • Ability to maintain confidentiality and exercise discretion and professionalism with sensitive information

  • Highly proficient with the Microsoft Office suite, especially PowerPoint, Excel, and Word; proficiency in Adobe Pro is a plus

RESPONSIBILITIES

  • Support the Special Projects team with administrative duties such as:

    • Meeting agendas and notes

    • File maintenance

    • Invoice processing

    • Budget updates

    • Scheduling and calendar updates

    • Building and maintaining presentation deck

  • Facilitate cross-functional communications across all departments

  • Undertake any other special projects as assigned from time to time

The selected candidate will be offered a salary within the range of $70,000-$80,000K annually, plus potential eligibility to participate in the Company's medical benefits plan, commuter benefits, and 401k plans with employer contributions.
